Position Overview

The Receptionist serves as the first and last point of contact for our patients.


This role is responsible for creating an exceptional patient experience through scheduling coordination, insurance verification, communication, patient support, administrative organization, and financial coordination.


The ideal candidate understands that dental visits can feel stressful for patients and actively works to reduce confusion, frustration, and uncertainty throughout each interaction.

Core Responsibilities

New Patient Coordination

  • Answer incoming phone calls professionally and warmly
  • Schedule new patient appointments
  • Collect basic patient and insurance information
  • Send digital paperwork
  • Create a strong and welcoming first impression

Patient Care Coordination

  • Check patients in and out
  • Verify demographic information
  • Coordinate communication between clinical and administrative teams
  • Assist patients with questions regarding appointments and treatment
  • Ensure patients understand next steps before leaving

Insurance Verification

  • Verify insurance eligibility and benefits
  • Prepare treatment estimates
  • Assist with claim-related questions
  • Identify and resolve discrepancies prior to appointments

Scheduling Management

  • Schedule treatment and hygiene appointments
  • Confirm upcoming visits
  • Manage cancellations and changes
  • Help maintain a productive and organized schedule

Administrative Responsibilities

  • Prepare daily schedules
  • Organize and maintain patient records
  • Scan and upload documentation
  • Ensure accurate, HIPAA-compliant recordkeeping

Financial Coordination

  • Present treatment estimates
  • Collect payments
  • Explain patient financial responsibility
  • Support a transparent and stress-free financial experience

Qualifications

Preferred qualifications include:

  • Customer service experience
  • Front desk or receptionist experience
  • Dental office experience (preferred but not required)
  • Insurance verification experience (preferred but not required)
  • Strong computer skills
  • Strong verbal and written communication skills
  • Ability to multitask

Working Hours
  • 7:40am-5:15pm
  • Monday – Thursday

Benefits
  • Starting Pay = $18-$25 per hour (depending on experience)
  • 2 weeks paid time off

             Employee:

             - Employees are eligible for up to $4,000 in dental treatment per year after 6 months of continuous employment.

             - Includes two (2) prophylaxis cleanings per year.

             - Employees are automatically enrolled in the Cranfill Dental Membership Plan.

             Family Member Benefits:

             - Immediate family members are eligible for up to $2,000 in dental treatment per year, per person.

             - Includes two (2) prophylaxis cleanings per year per family member.

             - Family members are automatically enrolled in the Cranfill Dental Membership Plan.
             - Family maximum benefit is $8,000 per year. Once this maximum is reached, services will continue under the membership plan at standard membership rates.

            General Terms & Conditions

             - Benefits reset annually.

             - This benefit applies to treatment performed in-office only.

             - Benefits are non-transferable and have no cash value.

             - All treatment is subject to doctor approval.

             - Not combinable with dental insurance
